Job Title: Marketing and Communications Coordinator (Term)

Reports to: Artistic Director & CEO

Reporting Staff: Seasonal staff, Volunteer Team Leaders & volunteers related to the specific responsibilities of the Marketing and Communications Coordinator

Length of Term: Full-time (35 hours a week) 1 year term starting mid-November 2019

PURPOSE OF THE JOB:

A member of our dynamic and passionate year-round team, the Marketing and Communications Coordinator will assist in the administration of Regina Folk Festival Inc. and its annual summer festival, the RFF Concert Series, and the Winterruption festival through effective coordination of the RFF’s marketing and communications efforts.

ABOUT THE REGINA FOLK FESTIVAL:
The Regina Folk Festival Inc. is a charitable, non-profit organization whose purpose is to present accessible live music in the context of community-building opportunities year-round, whether this is at our summer festival, our winter festival (Winterruption), our year-round concert series, or at our school outreach programming.

Our Mandate is to:

  • present accessible, high quality music and arts events
  • provide opportunities for performance by artists, including Saskatchewan artists
  • increase awareness and appreciation for a wide range of music
  • contribute to the community, the sector and the evolution of music festivals
  • build capacity, knowledge and skills to benefit the organization, the festival and the sector

A. PRIMARY RESPONSIBILITIES:

Marketing

  • Execute marketing strategies, promotions and sales tools for both the festival and concert series including print, TV, radio, and website
  • Responsible to review, update, and make recommendations for upgrades to the RFF website as needed
  • Supervises website upgrades with the graphic designer and web designer as needed and as budgeted.
  • Coordinates the production and distribution of various promotional materials for all programs of the organization
  • Manages media buys/in-kind negotiations as well as other advertising tools for the summer festival, Winterruption and concert series
  • Monitors the marketing budget and tracks all expenses to ensure spending remains on target
  • Ensures the Regina Folk Festival brand is consistent across all platforms and usages
  • May grow the role as needed

Communications

  • Works to ensure all communications materials reflect the mission of the organization
  • Writes copy for marketing materials, social media, and website
  • Daily monitoring and upkeep of all social media channels
  • General office correspondence as required
  • Creates and distributes the e-newsletter
  • Maintains internal general information documents including up to date information about the concert series, Winterruption and Regina Folk Festival programming as available
  • Develops and implements clear plans for social media (Facebook, Instagram, Snapchat, Twitter, etc) for all RFF Inc. events and projects
  • Works with the Sponsorship Manager and Production Manager for sponsorship recognition that has been confirmed in sponsor agreements
  • With support from the Artistic Director & CEO, will respond to public, media, and community partners as required
  • May grow the role as needed

Media Relations

  • Organizes media presence at RFF events as required
  • Prepares and distributes press releases as needed

Graphic Design

  • Works with the Artistic Director & CEO and the contracted Graphic Designer to give input on creative elements and a variety of print and digital ads, programs, posters, signage and other materials as required
  • Using elements from the contracted Graphic Designer, the Marketing and Communications Coordinator will design and edit simple graphics for use on social media, and collateral for various marketing endeavors

Operations/ Administration

  • Assists the Artistic Director & CEO in developing a workplan for the position
  • Assists with the training of summer staff as related to the position
  • Assists in day to day supervision of summer/temporary staff as needed
  • Additional administrative duties as required by the Artistic Director & CEO

Event Management

  • During Festival set-up, Festival weekend and tear-down, all staff are on-call and thus expected to pitch in as necessary, in both their own areas of responsibility and others as assigned/requested
  • Plan and manage a number of Festival Team areas as assigned for the summer festival
  • Responsible for the coordination of RFF promotional events, such as our Festival Line-up Launch
  • Other event support as required

B. STAFF SUPERVISORY RESPONSIBILITIES

  • Day to day supervision and training of temporary staff and volunteers for all RFF Inc. events as appropriate

C. WORKING CONDITIONS AND ENVIRONMENT

  • Requires some evening and occasional weekend work
  • Will require on-call work for the weekend of the summer festival
  • May require on-call work for Concert Series and Winterruption events
  • Hours of work may be irregular and flexible, but the expectation is 35 hours/week
  • Regular office hours at the Regina Folk Festival’s offices will be established among staff members
  • This position is a term position, with possibility of extension
  • This position is classified as a range 5 in the RFF salary grid, with starting salary at $37052.00 for a 35 hours/week position.  Final salary will be dependent on candidate experience and qualifications.
  • RFF Inc. maintains a mandatory employee benefits package for all full-time and qualifying part-time employees after completion of ninety days of employment or the end of their probationary period, whichever is longer.

D. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • A post-secondary degree/diploma in business/arts administration, marketing or related area of study, or equivalent experience
  • A keen interest in pursuing a career in the arts & culture sector
  • Ability to balance multiple deadlines under pressure
  • High degree of computer literacy
  • Experienced at working in Adobe Creative Suite
  • Knowledge of event management
  • Strong organizational and communication skills
  • Excellent communication and presentation skills both written and verbal
  • Ability to work well with others and independently

Assets

  • Ability to work effectively with the public, artists, government and the business community
  • Interested in the promotion and development of arts and culture in Saskatchewan
  • Willingness to learn and upgrade skills
  • Previous experience working with non-profit organizations
  • Ability to solve minor technical problems in the office environment

Office Administrator (Temporary)

JOB DESCRIPTION

Job Title: Office Administrator (Temporary)

Reports to:  Finance Manager

Length of Term: 3 month term, January 6 2020 – March 31 2020

PURPOSE OF THE JOB:

The Office Administrator would provide administrative assistance/support to the Regina Folk Festival office team as we develop programming for our year-round concert and workshop series, our winter festival, and our summer festival. The Office Administrator will share in general administrative duties such as reception, mail, box office sales, supply ordering, meeting bookings, etc.

  • increase awareness and appreciation for a wide range of music
  • contribute to the community, the sector and the evolution of music festivals
  • build capacity, knowledge and skills to benefit the organization, the festival and the sector
  1. PRIMARY RESPONSIBILITIES:
  • Assists the Finance Manager in developing a work plan for the position
  • Support with financial data entry and tracking, especially as it relates to our year-end audit
  • Support with Concert Series and Winterruption production as required
  • Support with grant writing and reporting as required
  • Support with acquisition and recognition especially as it related to the RFF Concert Series & Winterruption
  • Additional administrative duties as required by the RFF team

B. WORKING CONDITIONS AND ENVIRONMENT

  • May require some evening and occasional weekend work
  • May require on-call work for Concert Series and Winterruption events
  • Hours of work may be irregular and flexible, but the expectation is 30 hours/week
  • Regular office hours at the Regina Folk Festival’s offices will be established among staff members
  • This position is a term position, with possibility of extension
  • This position is classified as a range 7 in the RFF salary grid, with starting wage at $15.00 per hour

C. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Enrolled in fall session of post-secondary schooling, and intending to return to post-secondary studies after the work term is requires with our funding support from Young Canada Works
  • Must first register and be approved by Young Canada Works for eligibility in the Young Canada Works in Both Official Languages program
  • High degree of computer literacy, comfortable in a Mac environment
  • A keen interest in pursuing a career in the arts & culture sector
  • Ability to balance multiple deadlines under pressure
  • Good communication skills in both French and English
  • Ability to work well with others and independently

  • Experience working in Quickbooks
  • Previous experience working with non-profit organizations
